What is CASFolio
CASFolio is a portfolio app for IB Diploma students. It keeps your CAS experiences organized, activities, reflections, evidence, and Learning Outcomes, so your final review doesn't turn into a last-minute scramble.
Each activity connects to a strand, a set of LOs, and whatever reflections or evidence you've gathered. By the time your coordinator asks to see your portfolio, the work is already done.
For students
Document activities, write reflections, attach evidence, track LO coverage, and export your portfolio.
For coordinators
Receive the Portfolio Handover document: A structured report showing all activities, hours, LOs, and reflections.
Getting Started
- 1
- 2
Confirm your email and sign in. Use the link sent to your inbox, then return to CASFolio.
- 3
Set your IB start date in Settings so CASFolio can calculate your programme progress and unlock end-of-programme reflection prompts.
- 4
Add your first activity from the Activities page. Fill in the strand, hours, dates, and at least one Learning Outcome.
Dashboard overview
The dashboard shows your hours by strand, LO coverage, how consistently you've been writing reflections, and upcoming programme milestones. It updates as you add activities.
Hours from every activity contribute to your total. If an activity belongs to more than one strand, its hours are divided evenly between those strands so the strand totals always match your overall total.
Demo mode is a temporary preview. Leaving the demo returns you to the landing page; a signed-in account opens its workspace again when you return.
Run the class pilot
A class pilot has two parts: the teacher creates the class, and students join with the class code. Each student enters the code once. After that, the teacher can follow progress from the class roster.
Teacher
Create and share a class
- 1
Create an account from the registration page and choose Teacher. Confirm your email address, then sign in.
- 2
In the teacher workspace, create a class for each cohort or room. CASFolio generates a join code for each active class. Select Copy code and send the right code to that group of students.
- 3
Switch classes from the header to see class totals, strand balance, Learning Outcome coverage, weekly CAS activity, and portfolio health. Archive a completed class to stop new joins while keeping its roster and portfolios available for review.
Student
Join the teacher's class and log work
- 1
Create or sign in to a Student account. Confirm the email address if this is a new account.
- 2
In Settings, find Class, enter the teacher's six-character legacy code or eight-character current code, and select Join class. Check for the "Joined [class name]" confirmation.
- 3
Go to Activities and add an activity with its strand, dates, hours, status, and Learning Outcomes. Open the activity to add a reflection and evidence.
- 4
Use the Reflections, Evidence, and Learning Outcomes tabs on the activity to keep the record review-ready. Return to the dashboard to check your hours and coverage.
Need to change classes? Go back to Settings, choose Leave, then enter the new class code. Your former class keeps a historical, view-only roster for its coordinator.
Activities
Each activity is one CAS experience. Add the strand or strands it belongs to, then keep its details, reflections, Learning Outcomes, and evidence together.
CreativityArts, music, writing, design, drama, film, creative media
ActivitySport, physical training, dance, hiking, outdoor challenge
ServiceCommunity service, volunteering, tutoring, environmental action
Details in each activity
- Title, description, dates, and total hours
- Status: Planned, Ongoing, or Completed
- Your role, location, and collaborators
- A cover color or cover photo for visual organization
- The IB Learning Outcomes the activity demonstrates
- Reflections written directly on the activity
- Evidence such as links, photos, PDFs, or videos
An activity can span multiple strands. For example, an environmental film project can be tagged as both Creativity and Service.
Reflections
Reflections are your written record of what you experienced and what it meant. The IB wants them specific and tied to Learning Outcomes, not just a summary of what happened.
Writing a reflection
- 1
Open an activity and scroll to the Reflections section.
- 2
Click Add reflection and enter a date and your written response.
- 3
Save: The reflection is permanently attached to that activity.
What makes a strong reflection
- Specific to one experience or moment rather than a summary of the activity
- References a Learning Outcome explicitly (e.g. “This pushed me to collaborate differently, LO5”)
- Notes what changed in your thinking, behaviour, or skills
- Tied to a real date matching the activity
CASFolio doesn't enforce a word count, but your coordinator may have requirements. Check with your school's CAS guidelines.
Evidence
Evidence documents that your CAS experiences actually happened. Attach it directly to each activity from the activity detail page.

| Photo uploads | — | ✓ |
| PDF uploads | — | ✓ |
| Video links | — | ✓ |
Each image or PDF can be up to 10 MB. CASFolio accepts JPEG, PNG, WebP, GIF, and PDF, verifies the file before saving it, and keeps uploads private. Each student can store up to 100 files or 250 MB total.
Learning Outcomes
The IB defines 7 Learning Outcomes for CAS. By the end of your programme, your portfolio needs to show evidence of all 7.
| LO | Description |
|---|
| LO1 | Identify own strengths and develop areas for growth |
| LO2 | Demonstrate that challenges have been undertaken, developing new skills |
| LO3 | Demonstrate how to initiate and plan a CAS experience |
| LO4 | Show commitment to and perseverance in CAS experiences |
| LO5 | Demonstrate the skills and recognize the benefits of working collaboratively |
| LO6 | Demonstrate engagement with issues of global significance |
| LO7 | Recognize and consider the ethics of choices and actions |
How LOs work in CASFolio
- Tag each activity with the LOs it demonstrates when adding or editing it
- The Goals page shows your overall LO coverage at a glance
- The Dashboard highlights which LOs are covered and which need more evidence
- You can filter the Activities list by LO to find gaps
Not every activity needs to cover every LO. One well-documented activity can show evidence for several outcomes at once.
Export & Sharing
Portfolio Handover
From the Portfolio page, generate an examiner report with all your activities, hours by strand, LO coverage, and selected reflections. Export it as a PDF, Word document, or ZIP archive and share it with your coordinator. The interactive demo exports its complete sample portfolio too, so you can inspect the final report before creating an account.
CSV Export
Export a CSV summary of your activities, hours, strand breakdown, and LO coverage from Settings. Useful as a backup or for sharing with a coordinator who prefers a spreadsheet.
Account-data export
Settings also offers a free account-data ZIP export. It includes your account records, activities, reflections, evidence metadata, memberships, comments, and available original files. A manifest lists unavailable files and external links.
Public portfolio link
Sharing is off by default. Before creating a read-only portfolio or activity link, CASFolio explains that anyone with it can view the shared content. Links expire after 30 days and can be revoked, although downloaded copies cannot be recalled.

For CAS Coordinators
CASFolio supports two ways for coordinators to review student portfolios: receiving a shared document, or logging in with a teacher account to monitor their class roster directly.
Receive a portfolio handover (no account needed)
- 1
Student completes their activities, reflections, and evidence in CASFolio.
- 2
Student generates the Portfolio Handover document from the Portfolio page.
- 3
Student shares the PDF, Word document, or public link with their coordinator.
- 4
Coordinator reviews the document. No CASFolio account required.
Teacher workspace (coordinator account)
Coordinators can also create a teacher account to access the teacher workspace — a class roster dashboard that summarizes class totals, strand balance, and Learning Outcome coverage alongside each student's hours, activity count, and last active date. Students join a class with a code provided by their coordinator.
Coordinator access ends immediately when a student leaves the class or the class is archived. Restoring a class does not restore student access; students must join again.
Follow the class pilot workflow for the exact teacher and student steps.
Privacy & Account
What CASFolio stores
- Your name and email address (for authentication)
- Your activity data, reflections, and evidence (stored in your account)
- Security and service logs needed to protect the service
Your portfolio data is yours. We don't sell or rent it, use it for advertising, behavioural profiling, or AI-model training. Full details are in the Privacy Policy.
Exporting and deleting your account
Go to Settings to download a free account-data ZIP or delete your account. Deletion revokes access and share links first, then removes records, owned stored files, and the authentication account. If a deletion cannot finish, CASFolio reports the failure so it can be retried safely.
